Privacy Policy

OrthoCodes (orthocodes.net) is operated by Aurelian LLC ("we"). This policy explains what we collect when you use the site and what we do with it.

Don't enter patient information

OrthoCodes is a coding reference. It is not designed to hold protected health information, and we are not a HIPAA covered entity or business associate. Please don't type patient names, dates of birth, record numbers or other identifiers into the site. The wording of your sheet stays in your browser: when you copy it, we record only which codes were on it.

What we collect

• Codes you use. When you add codes or copy a sheet, we record the codes, the date and, if you are signed in, your username. This powers the "Most used" lists and helps us decide what to improve.
• Searches with no results. We record the search text so we can add missing procedures and synonyms.
• Feedback. Your message, the page you sent it from and, if you provide it, your email address.
• Accounts. If you have an account: your username, email, a securely hashed password, and the time, IP address and browser of each sign-in. Cases you choose to save are stored with your account.
• Analytics. We use Google Analytics, which sets cookies, and Vercel Web Analytics, which does not, to count visits and see which pages are used.
• Browser storage. Settings such as your contract rate are saved in your own browser and never sent to us.

How we use it

Only to run and improve OrthoCodes. We don't sell or rent personal information, and we don't show ads.

Who processes it

The site runs on service providers that handle data on our behalf: Vercel (hosting and web analytics), Supabase (database), Algolia (search) and Google (analytics). We may also disclose information if the law requires it.

Keeping and deleting data

We keep data for as long as it helps run the site. To see, correct or delete information tied to your account or email address, email brad@orthocodes.net. You can block Google Analytics cookies in your browser settings without affecting how the site works.

Children

OrthoCodes is meant for healthcare professionals and is not directed to children under 13.

Changes

If this policy changes, we will update it here and change the date at the top.
